You can enable the following email notifications under:
System > General > Email System Notifications
As the notification recipient, you can enter one or more email addresses, separated by a semicolon:
How to configure the notification settings
To configure your email server settings, go to the Remote Proofing tab.
First, confirm whether your mail server requires OAuth2 authentication.
If you are unsure, please contact your IT department.
If your Microsoft mail server uses OAuth2
Select the corresponding OAuth2 option in ColorProof.
Authenticate via Microsoft.
Note: Leave the port set to the default value 25, unless your IT department instructs otherwise.
If your email server does not use OAuth2
Select None.

Fill out all required SMTP fields: server address, port, username, password, SSL (if applicable).
The Sender Email Address and the User Name must be identical. Enter the full email address as the user name.
If SSL is enabled, the port typically changes from 25 to 465. Please confirm the correct port with your IT department.
Click Test to verify the connection:

The following screenshots show you a typical (non-OAuth2) configuration in which:
One person is the receiver for one of the enabled notifications (“Unrecognized File in Hotfolder”).
Another person is the sender, in this case using a Remote Proofing setup with email notifications.

Troubleshooting: Email notifications are not being sent
If notifications are not working, check the following:
• SSL
When using SSL, the mail server must support implicit SSL on the configured port.
If the server only supports STARTTLS/TLS, requests may be rejected.
Microsoft describes it as follows:
• Incorrect port
Some email providers block certain SMTP ports due to security updates. Please check with your IT department if this applies.
Typical port usage:
– SSL usually requires 465.
– OAuth2 connections typically use 25, unless your IT department specifies otherwise.
• Sender address mismatch
The Sender Email Address and User Name must match exactly and must be a valid email address.
• Authentication errors
Verify your SMTP username, password, server address, and whether SSL is required by your mail server.
