User-based licensing in GMG Manage

In this model, licenses are associated with a specific user (identified by an email address, ID, and password) and authenticated via our Single-Sign-On (SSO) which allows our users to use the same credentials in between GMG applications. This structure simplifies access management and offers more flexibility for organizations by assigning rights to specific individuals instead of machines.

Note: We only support named users, meaning each user must have their own individual account. This helps to ensure that all team members have the appropriate access and allows for better management of user roles and permissions. Using generic user names shared by multiple users is not supported.

The first user who requests to register, receives the administrative role, which allows to manage licenses for other team members. Admins can:

• Invite additional users / remove users
• Assign usage rights and roles 
• Manage and track licenses within their organization
• Track subscription renewals and license utilization

This licensing model is available for specific GMG products on a subscription basis, where each "seat" is linked to a user account.  All products in this category are accessible only via subscription plans. Users must have an active subscription to continue using the software.

How to assign and unassign usage rights
An organization admin can invite new users or revoke access for individuals who no longer need the product.

1. Navigate to the 'Users' tab in GMG Manage.
2. Click the 'Edit' icon next to the user you want to edit the usage rights of.
   Activate or deactivate the product checkbox to assign or unassign access rights.
   
   If a product you expected to see here does not show up, then there is no valid subscription available. Please contact your regional GMG Sales partner or order@gmgcolor.com to clarify the situation.
3. Click 'Apply' to confirm your change.
   With the next login, the respective user can access the granted products or, if being unassigned, cannot access the products anymore. The products a user is entitled to use show directly in the user list via product icons.
   
   

Subscription overview 
You can view all subscriptions for user-based products on the 'Products' tab. The overview shows you the expiration date of the contract and the number of available seats. In the following example, the subscription includes five seats. Of these five seats, only one is left to be assigned to another user, the remaining four have already been assigned.  

Downloading user-based applications 
Every user in Manage has an individual 'My Apps' page which provides the latest downloads of all products that the user is entitled to use. This way, there is no need to search for downloads on our website and the onboarding of colleagues is quick and easy.
